Privacy Policy

VowFlow (vowflowpro.com) is a client-management platform for wedding and event businesses, operated by Vow Flow Inc. ("VowFlow", "we", "us"). This policy explains what information we collect, how we use it, and the choices you have. Questions: michael@vowflowpro.com.

Who uses VowFlow

Businesses ("tenants") subscribe to VowFlow to manage their clients, events, vendors, documents, messages and payments. Their clients (for example couples, companies, schools and event hosts) and their vendors ("partners") use portals the business invites them to. People can also find businesses through the VowFlow Directory.

Information we collect

  • Account information: name, email address, phone number, business name, role, and sign-in details handled by our sign-in provider. We never see or store your password.
  • Information businesses and their teams enter: client and event details (dates, venues, guest counts, planning notes), tasks, timelines, floor plans, documents and signatures, messages, and vendor information.
  • Directory information: business profiles, photos, and inquiry details people choose to send (such as name, email, phone, event date and location).
  • Billing information: plan, billing status and history. Card payments are processed by Stripe; VowFlow never receives or stores full card numbers.
  • Connected-calendar information, only if you choose to connect a calendar (see below).
  • Basic technical information needed to run and secure the service, such as log and error records.

Google Calendar and Outlook calendar connections

Connecting a calendar is optional and can be turned off at any time. If you connect one, VowFlow uses it only to:

  • read the times you are busy so your VowFlow availability and booking pages do not offer times you already have taken; and
  • add, update or remove the VowFlow events you create or book (for example a scheduled call) on that calendar.

We do not sell calendar data, use it for advertising, share it with other businesses on VowFlow (other than showing a time as unavailable), or use it to train artificial-intelligence models. None of VowFlow's AI features read your calendar data.

VowFlow's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect at any time in VowFlow's calendar settings or from your Google or Microsoft account security settings. When you disconnect, we stop reading your calendar. To have the busy times we already imported deleted, email us and we will remove them.

How we use information

  • To provide the service: show businesses their clients and events, send the notifications and emails you or your business trigger, and let people message and book with each other.
  • To bill subscriptions and keep accounts secure.
  • To support you when you contact us, and to improve and fix the service.
  • To meet legal obligations.

Who we share information with

  • The business you work with: a business can see the information of its own clients, events and vendors. Businesses cannot see other businesses’ clients.
  • Service providers that run VowFlow for us, such as hosting (Base44), payment processing (Stripe), email delivery, calendar providers you connect, and an AI provider for optional AI features (only the text you submit to those features).
  • When required by law, or to protect the rights and safety of people and the service.

We do not sell personal information.

Payments between businesses and their clients

When a client pays a business through VowFlow, the payment goes to that business's own Stripe account. The business is responsible for its own charges, refunds and records.

Keeping and deleting information

We keep information while an account is active and as needed for the purposes above, including legal, tax and accounting requirements. Signed documents and payment records may be kept as a permanent record. To ask for a copy of your information, or for it to be corrected or deleted, email michael@vowflowpro.com. If your information was entered by a business you work with, we may ask that business to handle the request.

Security

We use access controls so each business sees only its own data, encrypted connections (HTTPS), and audit logs. No system is perfectly secure, so please keep your sign-in details private.

Children

VowFlow is not directed to children under 13, and we do not knowingly collect their information.

Changes

If we change this policy, we will update the date above and, for significant changes, let account holders know.
